Reservations

RESERVATIONS FOR CONGRESSES

 

To book the halls at the Auditorium-Congress Palace Principe Felipe or in the Exhibition and Congress Centre, you must apply and meet some administrative requirements that have been simplified to the maximum to facilitate the procedure for users. This procedure has three steps:

 

Locking-in the Dates:

You should contact this office as soon as possible, by telephone or by email, to lock-in the necessary halls for your congress. It is important to specify the dates of the event, including the number of days required for assembly and disassembly work.

Reservations

To formalise the reservation, the formal procedure must be carried out providing the mandatory documents:

  • Application for the halls.
  • Request for technical requirements.
  • Liability Insurance (covering the applicant entity in the spaces and for the days of the event)

To process the reservation, always through online, you must access the City of Oviedo Citizen's Portal (portal.oviedo.es) using the digital certificate or signature of the applying entity. Perform the following steps: Formalities/Culture, Leisure and Sports/Application for PEC Space. After completing the online application, you may attach any documents you deem relevant to the application.

The application must include all the documentation required and it must be submitted at least one month in advance of the date of the event or congress.

Resolution

Finally, an administrative resolution will be issued; a document that is formalised shortly before the congress and that will be sent to the organisers during the ordinary municipal administrative process.

Organisers must be aware that if at a later date they are going to apply for a municipal grant to hold the congress - for which the City Council opens a public tender every year - a service contract will be needed between the promoting entity and the organising company and, in any case, the logo of the City Council with the legend of “financed by” must be included in all the promotional media and posters of the Congress.

Services: Free choice and quality

Both the Auditorium-Congress Palace Principe Felipe and the Exhibition and Congress Centre include all basic services, which are provided by outsourced specialists. The organisers of events must adapt these services to their needs.

The City Council considers that professionalisation as the best assurance for the success of the events and, within the scope to which the legislation obliges, expects the greatest possible participation of local companies of proven quality. Only the Security Service, in the event of any increase in the number of security guards or working hours, must be outsourced to the same company that the City Council uses, as this company controls the building’s video surveillance system.

Regarding hall staff (essential to comply with self-protection plans), cleaning staff, assembly staff, or technical staff, users are free to hire the companies they prefer.

In the case of catering, the organisers of congresses and events can also choose the company they prefer to hire but there is one requirement regarding food safety, given that the Principality has strict regulations in place on this issue: they must be companies entered in the Industrial Health Register for Catering companies.
